Best PTA treasurer software

Jump to a section

Short answer: The best PTA treasurer software is the one that keeps two people involved, makes the monthly bank match easy, keeps records the next treasurer can find, and produces a one-page report your board can read. For many PTAs, PTOs and booster clubs, a well-kept spreadsheet does all four. Pick a tool only when it does those jobs better than the spreadsheet would.

What to look for in treasurer software
Look forWhy it matters
Two people can see everythingSomeone who doesn’t sign checks should look over each statement. Each officer gets their own login; no shared passwords.
An easy monthly bank matchYour records and the bank, plus every payment app, should agree each month.
Records the group ownsSet up under a group email, so the next treasurer inherits it and nothing leaves with a volunteer.
A one-page reportBalance, money in and out, budget vs. actual, and restricted money shown separately.
A clean handoffAccess can move to a new treasurer without closing the account.

The options, compared fairly

Kinds of treasurer tools
OptionGood forCheck
Spreadsheet or paperSmall groups with simple money. Free, and every volunteer can open it.Someone has to keep it up each month, and the file must live in a group-owned folder.
General bookkeeping softwareGroups with many transactions or a bookkeeper parent who knows it.Cost, who pays, and whether volunteers can learn it quickly.
Software made for parent groupsGroups that want reports and budgets set up for PTAs, PTOs or booster clubs.Who owns the data, and whether you can export it if you switch.
Payment and fundraising appsCollecting money online. They’re accounts, not your books. Match each one monthly like a bank account.

None of these replaces the habits: two signatures on checks, two people counting cash, and a monthly look at the statement by someone who doesn't sign checks. Software can make those habits easier. It can't do them for you.

A booster club or PTA treasurer spreadsheet

A spreadsheet that does the job has four tabs:

  • Register: every deposit and payment, with date, payee, budget line and amount.
  • Bank match: the bank's ending balance, plus deposits not yet on the statement, minus checks not yet cashed, compared with your register.
  • Budget vs. actual: budgeted, so far and what's left for each line.
  • Report: one page for the board, rounded to the dollar.

Start a new file each school year, keep it in a shared folder owned by the group's email account, and name files date first so they sort. Our treasurer report template and budget template are free to use.

PTO treasurer software

A school PTO, or parent-teacher organization, has the same needs as a PTA, with one difference: no state PTA sets rules for it, so its bylaws decide. PTA units should check their state PTA's rules before choosing a tool, especially for payment apps. Some state PTAs don't allow certain apps. Utah PTA, for example, doesn't allow Venmo, Zelle or Cash App (see Venmo and PayPal for PTAs).

Questions to ask any tool

  • Can each officer have their own login, and can a non-signer get view-only access?
  • Is the account in the group's name, under a group email?
  • Can we export everything if we stop using it?
  • Does it handle our payment apps as separate accounts?
  • What does it cost, and is it billed to the group, not a volunteer's personal card?
  • What happens when the treasurer changes?

Questions people ask

Do we need software at all?

Not necessarily. A small group with a few accounts can do everything with a spreadsheet, as long as the monthly bank match and report happen.

Who should pay for software?

The group, from an approved budget line, with any recurring charge approved in a vote that names the vendor and amount.

What if the last treasurer used something we don’t like?

Export the records first and keep them with the year’s files. Then switch at the start of a month, so the bank match is clean.

Next step: whatever tool you use, run the monthly bank match on it. Our free guide, “The New Treasurer Checklist”, walks you through that and the rest of the routine with nothing more than a spreadsheet or paper.
